London Office: Office Administrator 60% - 80% (m/f)

The Office Administrator should have a structured and proactive approach to work, and will be responsible for coordination of the office administration, keeping the office running smoothly and efficiently.

 

Responsibilities:

 

  • General office administration under supervision of Head of London Office, and in collaboration with the administration team from head office in Zurich
  • Finance support, including invoice flow (using project management database) and processing office expenses
  • Managing external and internal office communication (including reception, switchboard, post and general email account)
  • Liaising with external parties such as landlord, suppliers and other third-parties
  • Monitor and maintain office supplies
  • HR support including recruitment and liaison between head office and London staff
  • Managing and maintaining all office policies (incl. insurance, health and fire safety)
  • Managing office database
  • Limited PA support to the Head of London Office
  • Support in business development
  • Ad hoc projects and responsibilities as assigned

 

Experience & Qualifications required:

 

  • Bachelor’s degree or equivalent, or broad experience in administrative services/ office management
  • Good working knowledge of Microsoft office is essential. Experience in Photoshop, InDesign and Illustrator would also be an advantage
  • Strong organisational and communication skills (written and verbal)
  • Candidates must be fluent in spoken and written English – knowledge of additional languages such as German and/ or French are an advantage
  • Self-motivated, confident and willing to learn
  • Efficient and precise working method
  • Experience in landscape architecture, or similar fields is beneficial, however not essential
  • Candidates must possess the relevant work permit for the UK
